PROGRAM ASSISTANT II –CH&W

What We’re Looking For:
Crystal Stairs in looking for a Program Assistant II who is primarily responsible for providing support to the
Outreach Specialist and CH&W management team. The Program Assistant II assists in the area of case
management file maintenance, scheduling appointments and follow-up, review of documentation, data entry,
preparing correspondence and eligibility determination.
OTHER RESPONSIBILITIES INCLUDE:
Perform administrative and clerical functions
Compose memos and correspondence
Order, store, and distribute office supplies and outreach materials
Assist with the design of flyers and newsletters
Maintain filing system
Maintain master schedule of presentations
Maintain progress charts for Project’s goals
Record and distribute meeting notes
Data entry
Maintain and update database
Confirm venues, speakers, trainers and other project participants
Provide word processing assistance to project staff
Process incoming and outgoing mail
Answer phone calls and assist clients with pre-screenings
Provide information to clients by phone
Arrange appointments for new enrollments
Send program correspondence to clients
Follow up on rescheduled appointments and no shows
Perform other duties as assigned by Project Supervisor
EXPERIENCE, KNOWLEDGE, SKILLS AND ABILITIES YOU SHOULD POSSESS:
High Schools Graduate; some college preferred.
Two to three years Customer Service or General Office experience required.
Experience working with families receiving subsidized child care or other social support services.
Requires excellent verbal and written communication skills.
Must be flexible and able to manage multiple tasks and handle changing priorities and deadlines.
Strong organizational and administrative skills and great attention to detail
Requires considerable accuracy and ability to produce under tight deadlines.
Requires excellent problem solving skills and ability to handle challenging customer calls or requests.
